A fair baseline — what both can do
Both can help a team ask questions against business knowledge and return an answer a person can read. Neither replaces an owner who decides what may be ingested, who may ask, and what happens when the answer is thin.
ChatGPT company knowledge, on Business, Enterprise and Edu plans, uses sources already available to that user — typically connected workplace apps, and in some workspaces an administrator-managed source. OpenAI states that a member can retrieve only what they are already allowed to access. When source links appear, open them and check the details. FastGPT is an open-source knowledge and workflow platform. Its docs describe team, app and dataset permissions (use, edit, manage) and a citation path that can open the source chunk. Permissions checklist before either pilot
Never expand access to make a demo look complete. If a question needs a document the asker should not see, the useful result is a refusal or a handoff — not a broader share.
Write down workspace administration versus per-dataset (or per-app) permission. On ChatGPT, administrators decide whether company knowledge and individual apps are available; each member still only sees what their connected account already allows. On FastGPT, team, app and dataset roles separate using an app, editing a dataset, and managing collaborators. Do not treat “the admin turned it on” as “everyone may read every collection.”
Treat a share link as access. Record who holds it and what they can see. FastGPT documents a citation-visibility setting for anonymous share links: visitors may see cited fragments only. ChatGPT answers can be copied outside the original file’s permission model. If any link leaves the named user list, write that down before the first question.
Check stale and contradictory versions before ingestion. Retrieving last year’s revision B as current is still a miss. The knowledge-pilot worksheet uses authorized samples, named owners, and access-restriction questions in the test set.
Citations and evidence
A citation is useful when a reviewer can open the exact passage and see whether it supports the sentence. A file name or a nearby chunk is not enough if the claim is a number, a condition, or a revision.
On ChatGPT, use the source links company knowledge provides and confirm they reach the material you need. OpenAI asks you to review the answer and any source links before relying on them. Do not assume every reply exposes a clickable paragraph.
On a FastGPT-shaped workflow, an openable chunk is part of the review path. FastGPT documents clicking a citation to open the highlighted passage, and a “citation content only” mode on some share links. Set that visibility on purpose.
Fail modes in either stack: the cited passage does not support the statement; the system answers from general model knowledge when the corpus is silent; a share or copy exposes more than the named audience should see; two approved documents disagree and the answer hides the conflict. Those are evaluation findings, not vendor scores.
Human review
Human review is mandatory when the answer will change a customer commitment, a safety step, a price, an access decision, or a record another team will trust — and when the corpus does not contain enough evidence. Missing information should become a prompt to a person, not a fluent guess.

ChatGPT can sit inside a similar discipline if you add it: a named reviewer and a rule that unsupported answers are not sent. In a CNPS FastGPT-shaped pilot, that review is designed in before the first evaluation week.
A two-week evaluate design
Run one workflow. Do not connect every system you own.
Scope. Name the owner, the approved corpus, the users in the test, and the current way of working. Use non-confidential samples only. Do not put production secrets, credentials or live customer files into an inquiry or a folder wider than the access list.
Hard questions. Write a small set: routine facts the documents should answer, comparisons across two approved sources, questions with missing evidence, and questions that test access. Keep the difficult items. The knowledge-pilot worksheet is a starting method.
Measure under review. Score the checked answer, not the first draft:
- Correctness under review — a person compares the answer with the approved source.
- Review minutes — time to accept, edit or escalate.
- Access incidents — any retrieval or share outside the named audience.
- Cost drivers — hosting or SaaS seats, model usage, ingestion, and the people who review.

When ChatGPT is enough — and when a FastGPT-shaped workflow fits

ChatGPT company knowledge is often enough when
- The useful answer should follow each user’s existing permissions across Slack, Drive, SharePoint or similar apps.
- Your team already works in ChatGPT Business, Enterprise or Edu, and can live with OpenAI SaaS plus each app’s residency rules.
- Review can be a person reading a sourced chat before they act, without a separate workflow to operate.
- You are exploring what the organisation already knows, not certifying a single approved manual.
A FastGPT-shaped workflow is worth scoping when
- You can name a bounded, approved document set and a person who owns it.
- You need explicit dataset and app permissions, including what a share link may reveal.
- Reviewers must click through to the cited chunk and treat missing evidence as a handoff.
- Self-host or residency options need to be discussed in the same proposal as the workflow.
- You want one measurable owner, a two-week evaluation, and a written path from pilot to implementation.
Many teams keep ChatGPT for everyday questions and still run a FastGPT-shaped pilot on one governed document family. Those are compatible choices.
