# Plan an AI meeting device pilot

For team managers and distributors evaluating recording devices. Product specifications, subscription terms and availability must be confirmed for the exact listing and destination.

## Choose a representative trial

Select a small group that reflects the intended users. Include the real meeting languages, speaker accents, room sizes and remote-call arrangements. Use authorized recordings with appropriate notice and consent for the setting.

Before the trial, measure the time spent taking, correcting and distributing notes. During the trial, measure the complete workflow, including corrections. Faster transcription alone does not establish a useful saving.

Do not put sensitive meeting content into a public feedback form. Keep the evaluation data in an approved business system.

## Check team ownership

Ask whether accounts and subscriptions can be reassigned, whether there is a team administration feature, and who controls recordings when an employee leaves. These capabilities should not be assumed from consumer features.

For a distribution order, also clarify packaging, destination compatibility, warranty handling, replacement procedures, documentation and any channel authorization needed. Ask for written terms before committing to a large batch.
